1. Personal Data collected
We may collect and use your personal data as may be required
by laws, regulations and/or authorities (in and outside
Malaysia), or that is reasonably necessary to perform or
carry out all matters that is necessary and/or relevant to
the purpose of processing, maintaining or administering your
Membership with the ICAP Fan Club, or to provide you with
marketing, advertising, promotional materials,
announcements, information and/or documents relating to
products and/or services and/or existing or upcoming ICAP
Fan Club events, news or meetings. We will only do so where
there is consent or deemed consent from you and information
regarding such purposes have been notified to you.
We may also collect your personal data through
third parties and/or other companies engaged by us
specifically to assist with our activities that necessitate
the collection, organising and processing of your personal
data. We will ensure that any third parties and/or other
companies engaged for such activities will be bound
contractually to handle your personal data according to the
requirements of the Act.
Apart from the above, we collect information
when you access or use our Website. Our Web servers do not
automatically recognise specific information about
individual users on our site. In addition, our servers do
not automatically record information regarding a user's
e-mail address unless the user supplies it. We collect
information about users during the registration process for
certain parts of our Website. Additionally, when you request
pages from our server, it automatically collects some
information about your preferences, including your IP
address, type of Internet browser, and your device’s
operating system, domain name of the website from which you
came, number of visits, average time spent on the site,
pages viewed We use this to help diagnose problems with our
server, to administer our Website, to monitor the
attractiveness of our Website and to improve its performance
or content. We make use of analytic tools to keep track of
how Visitors make use of our website.
Your personal data may also be collected, used
or disclosed without consent if it is permitted under
applicable laws.
2. Purpose of Personal Data collected

- To process your application for Membership and administering and/or managing your Membership with us;
- To assist you with your enquiries;
- To fulfil your obligations as our Member;
- To process your payments to ICAP Fan Club;
- To recover any amounts owed to us;

- To offer Member benefits, privileges and/or services;
- To conduct statistical analysis and research to improve our services;
- To facilitate your use of our platforms;
- To carry out billing, accounting, auditing and the maintenance of bookkeeping for the ICAP Fan Club’s operations;
- To carry out due diligence or relevant screening activities in accordance with legal or regulatory obligations or risk management procedures;
- To prevent, detect and investigate fraud, misconduct, unlawful action or omission in relation to your dealings with us or to assist in law enforcement and investigation by relevant authorities and agencies;
- To manage our infrastructure and operations, comply with policies and procedures that may be required by law and/or that is put in place by us;
- To carry out marketing campaigns, advertising, and/or provide you with promotional materials, announcements, information and/or documents relating to Member benefits, privileges and/or services;

- Any other purposes which we may notify you from time to time.

3. Disclosure to Third Parties
We may engage other companies, service providers or individuals to perform functions on our behalf, and consequently we may provide disclosure and access to these third parties such as those listed below (not exhaustive):
- Information technology service providers;
- data entry service providers;
- storage facility providers;
- banks and financial institutions;
- insurance providers;
- any professional advisors and external auditors;
- regulatory and governmental authorities in order to comply with statutory and government requirements;
- any affiliated or related entities.
4. Impact of Non Provision of Personal Data
The provision of your personal data is voluntary. However, please note that in the event that sufficient Personal Data is not supplied, or is not satisfactory to us, then your application for Membership of ICAP Fan Club may not be accepted, ICAP Fan Club may not be able to communicate with you, ICAP Fan Club may not be able to provide the full range of benefits, privileges or services to you and/or your request to browse some information on our Website may be denied.
5. Storage and Retention of Personal Data
Your Personal Data shall be stored in hard copies in ICAP
Fan Club’s office or stored in servers located in Malaysia
or off-site in Singapore and operated by our service
providers or cloud storage. Data is encrypted in-transit and
at-rest.
Any Personal Data supplied by you will be
retained by ICAP Fan Club for as long as necessary for the
fulfilment of the purposes stated in section 2 above or is
required to comply with legal, regulatory, accounting
requirements, prevailing internal policies, or to protect
our interests.
Reasonable steps will be taken by us to delete,
destroy or anonymise your personal data when it is no longer
necessary for the purposes mentioned above.
We do not offer any online facilities for you to
delete your Personal Data held by us. Please refer to
section 9 below for details on how to access your Personal
Data.
6. Security
We have implemented appropriate standards of information technology security and control measures to protect your personal data that are in our possession and/or management control to prevent unauthorised or accidental access, misappropriation, erasure, loss, destruction and other forms of data risks incidents. We are contractually obliged to keep your Personal Data confidential and only authorised persons have access to such information.
7. Accuracy of Personal Data
You shall ensure that your Personal Data provided by you to us are at all times correct, accurate and complete. Best and reasonable efforts will also be rendered by us in ensuring the accuracy and completeness of all Personal Data maintained in our systems and records. You may inform us via the contact details listed in section 11 below to update us in a timely manner if there are changes to your Personal Data.
8. Right of Access and Correction to Personal Data
Under the Act (subject to any exceptions under applicable
laws), you have the right of access to your Personal Data
held by us on payment of a prescribed fee and to request
correction of the Personal Data that is inaccurate,
incomplete, misleading or not up-to-date.
Upon request, we will provide you with access to
your Personal Data or correct an error or omission in your
Personal Data that is in our possession or control in
accordance with the requirements of the Act. A prescribed
fee may be charged for an access request and we will inform
you of the fee before processing your request.
In respect of your right to access and/or
correct your Personal Data, we have the right to refuse your
requests to access and/or make any correction to your
Personal Data for the reasons permitted under law and
regulations.
9. Withdrawal of Consent
You may withdraw your consent for the collection, use and
disclosure of your Personal Data by submitting your written
request via email to us using the contact details stated in
Section 10 below. Upon receiving your request to withdraw
your consent, we will notify you on the likely consequences
of the withdrawal of consent, such as we will no longer be
able to initiate or continue a relationship with you, and
thereby resulting in a possible termination of relationship
with you. Under such circumstances, we shall reserve all
rights and remedies ensuing from such termination.
After the withdrawal of consent, we will cease
(and cause your Personal Data that are in the possession
and/or control of third party organisations and/or other
companies engaged by us to cease) collecting, using or
disclosing your Personal Data unless it is required or
authorised under applicable laws.
